Digital Heritage: Selection, Description and Long-Term Care

A digital file becomes heritage when its origin, rights, format and context are understood and preserved.

At a glance

Why this guide matters

The page covers selection, filenames, metadata, backups and access controls. It distinguishes preservation masters from publication copies and requires transparent disclosure of any AI alteration.

Material status

This is an editorial guide for the initiative’s development version. It explains an approach and does not replace professional medical, legal or financial advice.

Practical route

Three steps for responsible work

Begin with context, record decisions and preserve each person’s right to revisit the terms.

Selection and metadata

Record why a file is retained, who created it, when and in what context. Empty fields are better than invented metadata.

Formats and copies

Keep a preservation master, working copy and public derivative separately. Check that copies remain readable and intact.

Rights, access and AI

Link every file to its licence, consent and access level. Never send personal data to AI services, and disclose content alteration.

Transparent discs and unmarked chips lie with conservation gloves and blank labels.

Working checklist

What to check before moving on

  • Use a stable filename convention.
  • Keep copies in more than one location.
  • Check file integrity and readability.
  • Keep rights and consent records linked.

FAQ

Common questions

Is one cloud copy enough?
No. Use multiple copies in different locations and periodically confirm that files can be opened.
Can AI restore a missing detail?
AI can propose a version, not prove the original; store it separately and label it clearly.
